We are seeking a mature, bright, energetic, dedicated & highly-motivated individual with effective inter-personal and administrative skills, to work as a Documentation Specialist. This is a locally hired full-time position that will report to the Supervisor of the Documentation unit. The successful candidate will be expected to work in a highly collaborative manner along with other HR personnel as a ‘close knit’ team to deliver specialist & support services to our foreign expat employees. S/he will interact regularly with all levels of personnel throughout the organization and will be responsible for all aspects of the documentation process for non-Czech staff including their dependents in regard to their initial application and subsequent renewals of resident visas and work permits. S/he will be also be expected to process short-term visa applications helping to arrange official invitations certified by the Foreign Police for temporary visitors to the Czech Republic sponsored by RFE/RL. The Documentation Specialist will be involved in the entire registration process from start to completion in accordance with Czech legal requirements for foreigners. The successful candidate will be expected to expedite complicated transactions in a thoughtful, cooperative, helpful and skillful manner particularly in dealing with and sorting out potential problems. S/he must be able to effectively deal with time sensitive issues and explain to and/or update the employee as well as the employees’ supervisor/oversight manager, by providing them with further insight, advice, guidance and support, as needed.

The incumbent is expected to perform routine work independently, while also accepting supervision as needed. S/he is expected to manage her/his time well, act with discretion on sensitive matters and data, display attention to detail, and possess a high level of interpersonal communication skills. The Documentation Specialist will perform a wide range of specialist support services and duties involving highly transactional procedures i.e. scanning important official documents and information while maintaining employee data files, which must be kept accurate, complete & up-to-date. Additionally s/he will occasionally be required to travel on business to Czech Embassies in Vienna and/or Berlin.

Job requirements:

Education:

Secondary school diploma is required. Business Administration or related field (University or Post Secondary degree (or combination of education and experience) is an advantage.

Skills & Experience:

Two to five years of general administrative office experience in a large organization is required.

Additionally successful candidate must be/have:

•Ability to handle highly sensitive and confidential information discreetly,

•Quick learner with ability to work under pressure, anticipate situations and needs,

•Ability to perform a wide range of administrative tasks,

•Ability to understand and meet customer needs in a helpful way,

•Self-motivated with ability to complete assignments independently,

•Confident with excellent communication skills; written and verbal,

•Dependability & reliability; should be willing to occasionally travel (within EU),

•Flexible to last minute changes/directions in a fast paced environment,

•End-user knowledge of MS Office applications,

•Ability to be proactive; multi-task/handle simultaneous projects,

•Strong organizational skills, prioritization skills; attention to detail,

•High level of interpersonal skills with ability to maintain a pleasant disposition,

•Ability to work with others on a team,

•Previous administrative work experience within an HR environment (an advantage),

•Previous experience with a Czech immigration agenda (a strong advantage),

•Previous experience working in a multicultural or a multinational environment; or experience living and working abroad (an advantage), and

•End-user knowledge of Lotus Notes (an advantage).

Language skills

English: Proficient

Czech:Proficient

Russian or another RFE/RL language: Working knowledge oral+written (a strong advantage)
